Summary of Primary Functions: Performs a wide variety of administrative duties necessary to provide support to field operations functions and activities.

Essential Duties and Responsibilities:

  • Load new projects into the Job Status Database and print the Job Status Report for weekly meetings

  • Create and maintain PCI Compliance Files for each project

  • Collect and scan required forms from Erection Crews for PCI files

  • Create and maintain files for each Erection Crew Employee for Certifications in cloud-based database

  • Responsible for all Field Operations administration duties

  • Enter pieces erected daily in IFS software

  • Collect and maintain daily field reports

  • Prepares outgoing mail and correspondence, including letters, emails, and faxes.

  • Collect and enter time and per diem for Erection Crew employees in IFS software

  • Scan invoices to proper location

  • Track product delivery to ensure erection crews are receiving proper amount of pieces

  • Participate in the front desk rotation, covering lunch, vacations, and time off when needed

  • Completes Field Safety Manuals for each project, electronic and/or hard copies, as requested

  • Make sure all Erection Crew Employees have up to date required Certifications

  • Facilitate new hire training for Erection Crew employees

  • Create and maintain workbook files needed for Field Operations information


Job Specifications or Qualifications:

Education: High School plus Vocation or Technical Education: 1-year certificate from business/technical school or some college work is preferred.

Experience: Less than 1 year of related experience, or an equivalent combined education and experience, is required.

Work Environment: While performing the duties of this job, the employee is regularly exposed to outside weather conditions. The employee is frequently exposed to moving mechanical parts. The employee is occasionally exposed to wet and/or humid conditions and vibration. The noise level in the work environment is usually loud.
